  • How To Set Up A Successful Webinar: Top Tips For Getting The Basics Right

Virtual events fit in perfectly with our busy lifestyles; we can log on from anywhere, anytime, and engage with colleagues, customers and industries worldwide. A webinar can provide businesses with a creative and truly unique platform to share their expertise – personally. The ROI compared to live events is second to none. And so are the marketing and income opportunities they can lead to.

So, how do you plan and prepare to maximise that potential? The Bombora team have put their experienced heads together and come up with their top tips for success.

    1. The Right Content For The Right Audience

Know Your Audience: Who are they? What are their needs? What problems or challenges do they face? What information do they need right now?

Know Your Content: Will your webinar address their problems or challenges? Will it give them a solution? What will they learn? How will they be able to use this information?

    2. The Right Set-Up For The Right Content

    Audio or Video Webinar:

An audio webinar is the cheapest option and ideal if you’re camera-shy. It’s a simple case of speaking over slides. Great for presentations.

A video webinar can be a just a single camera, or bells and whistles with a crew. Best for speakers with discussions, panel chats, demonstrations or instructional events. Slides can be synced alongside. No venue or your own? Hire the studio at Bombora, fully kitted out with green room and crew. Contact amarat@bombora.tv for details.

    3. Live or On-Demand or Simulated:

Making a webinar a live event can sometimes drive registration and attendance; viewers are keen to be among the first to see it. Live events can be more daunting as there’s no chance of editing any mistakes, but audiences are usually pretty forgiving and appreciate it can be challenging. Once your webinar is in full flow take the opportunity to interact with your audience; keep them watching. Q&A’s are a great way to do this. Or try polls and surveys. Audiences also appreciate being able to download resources.

Simulated webinars are pre-recorded but promoted as live. Relieves the stress on the day and gives you ultimate control over the content and scheduling of the event.

On-demand webinars can be watched anytime. These are recommended for presentations that are perhaps informative or instructional, or for live events post broadcast. Convenience is key here and this can definitely increase numbers. Interaction isn’t live but some hosting players can still monitor Q&A’s.

    4. Make A Good First Impression

Create a title that is concise, stating clearly what the webinar is about. Ensure it addresses the problem you’re tackling and suggests there will be a solution. Fundamentally it should promise the viewer they are going to learn something so make it action orientated – ‘How to optimise…,’ ‘Building your…’, ‘Risks to…’ Create a registration page that is clear with a strong title and graphic at the top.

Include a concise summary of the event and maybe even a teaser or promotional video. Make the registration form as simple as possible, ask for too much info and you will lose viewers at the first hurdle.

    5. Timing Is Everything

Scheduling your webinar: Knowing where your audience are located influences the time you will broadcast your webinar. Lunch time is usually good as we tend to have a little time free – and watching an interesting webinar doesn’t seem like work. Tuesday’s and Wednesday’s are the most popular days to broadcast; the start and end of the week are traditionally busy periods for businesses and attendance can be unpredictable and low.

Scheduling your promotions: The best day to promote your webinar is a Tuesday, closely followed by a Thursday. Research suggests that promoting up to 7 days before delivers the best results. Any sooner and people just won’t commit.

    6. Promote, Promote, Promote

Targeted promotions let you know who’s viewed it and can help you to build up a clearer picture of people or customers on your database. However, if you’re looking to pick up some new leads and want to optimise the lead generation then broadcast promotion is the best option. Let everyone know! Send reminder emails. Use your networks and get people sharing. Post blogs. Use social media. Use images, videos or written content to mix up the message. Offer a gift to the first few registrants to get people interested. Add a video to get people talking.
